Deals are pipelines in the Customer Relationship Management (CRM) Software. They typically contain custom deal stages which are used to visualize a sales pipeline and to estimate future revenues. The final deal stage is closed when the deal is won or lost.

Deals in EngageBay enable you to create a standardized workflow and keep everyone on your sales team on the same page. It allows you to create repeatable deal workflows with deal tracks, milestones, pipelines, and document attachments.

It’s an easy way to track potential revenue. Create a deal when a prospect/contact takes an action that could lead to revenue, such as signing up for a free trial or downloading an ebook. 

To create a new deal, enter the details for your new deal in the Create New deal tab. Fill out all the required fields like ‘Name,’ ‘Track, ‘Milestone,’ ‘Amount,’ ‘Owner,’ and ‘Choose the type.’ The rest of the data you can enter as needed. 


Once done, click on the Save button below.  

Importing Deals:

  1. To import deals, please select the Sales Module and click on Deals
  2. On the top right you will find import, click on it and select the CSV file
  3. Once the file gets loaded, you will find the page to map the fields. Please map the fields accordingly and click on the import button.
  4. Once the import is completed, you will get an email.


Note: Please make sure the track name and the milestone names in the .CSV file match exactly with what you have on your account, also they are case sensitive.

 

360 Degree Deal View:

Activities: It shows all the activities that are performed on the contact.

Notes: It shows all the notes that are added to the Deal. To add a new note,  click the Create Note button, enter the subject and the description of the notes. In the description you can use @username and it will send an email to that user with the notes. 

If you want to create a follow up task, select that option and select the date.

 

 

Contacts: It shows all the contacts related to the deal.. To add a contact to the deal, you have two options 1. Existing Contact 2. Create Contact.

Existing Contact: This is used to add the existing contacts,, please click on it, enter the contact name and select the contact and it gets added. You can add multiple contacts to the deal in the same way. Once done click submit. 
Create Contact: This is used to add a new contact to the deal, please click on it and create a new contact.

 

Companies: It shows all the companies related to the deal. To add a company to the deal, you have two options. 1. Add Existing Company 2. Create a Company.

Add Existing Company: This is used to add the existing company,, please click on it, enter the company name and select the company and it gets added. You can add multiple companies to the deal in the same way. Once done click submit. 
Create Company: This is used to add a new company to the deal, please click on it and create a new company.

 

Emails: It shows all the emails that are sent to the contact. If you want to check the email conversations that were sent using your email account then you need to select the email account from the top right by clicking on the EngageBay Emails drop down.

 

Tasks: 

 

It shows all the tasks for the Deal. To add a task to the Deal, you have two options 1. Existing Task 2. Add New Task


Existing Task: This is used to add the existing tasks, please click on it, enter the task name and select the task and it gets added. You can add multiple tasks to the deal in the same way. Once done click Submit

Add New Task: This is used to add the New Tasks, please click on it, enter the Task Name, select the Task Type, Priority, Enter the Due date, select the date and time for Email reminder, Enter the notes, Add the contacts, companies, deals, select the status of the Task and the owner of the task and click Save.

 

Events:

It shows all the EngageBay events of the Deal. To add a New Event, there are two options 1. Existing Event 2. Add New Events.
  1. Existing Event: To add an existing event, please click on it and type the name of the event and select it and it gets added. You can add multiple events to the deal in the same way. Once done click Submit
  2. Add New Event: To add a new event, please click on it and enter the event name, start time, end time, email reminder date and time, choose the color, contacts, companies, deals and the task owner and click Save.

Workflows: It shows all the workflows that are Active/Completed on the contact. To add a contact to the workflow, please select the workflow from the drop down on top right and select Add.

Products: It shows all the associated products for the deal. To add a new product there are two options. 1 Add Existing Product, 2. Add New Product.

  1. Add Existing Product: This is used to add the existing products, please click on it, enter the name of the product, select it and it gets added. You can add multiple products to the contact in the same way. Once done, click Submit
  2. Add New Product: This is used to add the new product, please click on it, Enter the Name, Description, Price, Currency and Discount. You can also upload the image of the product by clicking on the upload image button. Once done, click on the Save button.

Proposals: It shows all the associated proposals for the deal. To add a new proposal there are two options. 1 Add Existing Proposal, 2. Add New Proposal.

  1. Add Existing Proposal: This is used to add the existing proposal, please click on it, enter the name of the proposal, select it and it gets added. You can add multiple proposals to the contact in the same way. Once done click Submit.
  2. Add New Proposal: This is used to add the new proposal, please click on it to create a proposal.

 

Documents: It shows all the documents that are added to the deals. To add a new document, there are two options. 1. Existing Document 2. Add New Document.

  1. Existing Document: This is used to add the existing document, please click on it, enter the name of the document, select it and it gets added. You can add multiple documents to the contact in the same way. Once done, click Submit
  2. Add New Document: This is used to add the new document, please click on it, enter the title, description, drag and drop the files, or click on it to upload the files, select the folder, contacts, companies, deals. You can upload an image to the file, by clicking on the upload image button. Once done, click on the Submit button.

Sorting Deals: It’s crucial to be able to have a clear view of your deals so that you don’t spend time scrolling and searching for them. The Deals option in Engagebay allows you to keep a record of all your deals with proper segmentation for efficient monitoring.

In Grid View:

  1. Navigate to your Deals. 
  2. In the upper left corner, click the Sort By dropdown menu. 
  3. Filter your deals based on various options, including Created Date, Modified Date, Closed Date, and Name. 


It further lets you filter your deals based on custom fields entered by you: Notes, Expiry Date, and Choose the type. 

In Table View:

Navigate to your Deals. 

  1. Navigate to your Deals.
  2. Click on ≡ at the right side of the screen.
  3. Select the Condition applicable for the filter. You can even add the second set of conditions for the filter. Select Add Filter again and choose the second set of conditions. You can add conditions under Meet All or Meet Any of the following conditions based on how you want to filter the deals.
  4. The screen will display the deal information corresponding to the condition of the filter. If this filter is frequently used, you can even save it to re-use it again. Simply hit the Save button below and name the filter. Next time you want to sort your deal using the same filter, you can find it under All Saved Filters.

Customize Deals columns: Deals customization lets you choose the information you would like to see on the deals view page. 

To customize the columns:

 

  1. In your EngageBay account, navigate to Sales > Deals. 
  2. In the upper right, click the Actions drop-down menu and select Edit Columns.
  3. In the dialog box, browse through Column Information on the left. Select the checkbox next to a property you want to add to your selected columns.If you don’t see the field you are looking for, you can even create a custom field in your EngageBay account. Click on Create a custom field, and it will open up a page in a new tab to do the rest. 
  4. To remove any previously selected columns, deselect the checkbox next to the property. 
  5. To reorder columns, drag and drop properties in the Selected Columns section.
  6. Once done, click Submit.

Filtering Deals: The Deals option in Engagebay allows you to keep a record of all your deals with proper segmentation for efficient monitoring. 

  1. Sort the timeline on a record to display specific types of deals. 
  2. In your EngageBay account, navigate to your Deals. 
  3. In the upper left corner, click the Sort By dropdown menu. 
  4. Filter your deals based on various options, including Created Date, Modified Date, Closed Date, and Name. 


It further lets you filter your deals based on custom fields entered by you: Notes, Expiry Date, and Choose the type. 

Bulk actions that can be performed on Deals:

Deals in table view can be subjected to bulk action. Bulk actions let you perform a certain action on multiple deals.

  1. On the Table View of deals, select the checkbox right before Name. 
  2. A banner above will ask if you want to Select All Deals. Click on the link to select all deals. 
  3. Once selected, go to Bulk Actions on the right side of the screen. From the drop-down menu, you can select the action you want to perform in one shot. 


The types of actions that you can perform on a large number of selected deals:

 

Add Tag:  It is used to add the tag to all the selected deals


Delete Tag: It is used to delete a tag from all the selected deals


Export as CSV: It is used to exports all the deals information with all the selected fields into a .CSV file


Change Owner: It is used to change the owner name for the deals selected


Execute Workflow:  It allows users to add the selected deals into a workflow


Update Fields:  It adds new fields into the deals information


Delete: It deletes all selected deals
